Privacy Policy

Plain-language summary.We collect only the information needed to run the platform. We never sell your information. We never use resident data to train third-party AI models. You can export and delete your data at any time. We use Stripe for payments, Supabase for storage, and Anthropic for AI — all under enterprise terms that protect your data.

1. Who we are

LibertyOne Management LLC, a Florida limited liability company (“LibertyOne,” “we,” “us,” “our”), is the controller of personal information collected through our platform.

2. Information we collect

Account information: name, email address, password (hashed), phone number, role within the Association, and unit number.

Association information: association name, governing documents, financial records, member rosters, meeting minutes, vendor records, and correspondence you upload.

Payment information:processed by Stripe under Stripe’s privacy policy. We do not store full card numbers or bank account credentials on our servers.

Usage information: log data, IP address, browser type, pages visited, and features used. We use this to operate, secure, and improve the Service.

Communications:messages you send through the platform’s communication hub, including emails routed to per-community inboxes.

3. How we use information

  • To provide and operate the Service
  • To authenticate users and prevent fraud
  • To facilitate communications between board members, residents, and vendors
  • To process payments and disburse funds
  • To generate compliance summaries and AI-assisted suggestions
  • To send transactional notifications (statutory notices, payment confirmations, ballots)
  • To respond to support requests
  • To comply with legal obligations

4. AI features and your data

We use Anthropic’s Claude API for AI-assisted features such as the LibertyOne Intelligence assistant, message triage in the Communication Hub, and compliance summarization. Per our enterprise agreement with Anthropic, your data is not used to train AI models and is processed only to generate the requested response. Data is not retained beyond the operational windows required by the model provider for safety and abuse-prevention purposes.

5. How we share information

We share personal information only as follows:

  • Within your Association. Board members, the manager (if any), and other authorized members can see information appropriate to their role.
  • Service providers. Stripe (payments), Supabase (database and storage), Anthropic (AI), Vercel (hosting), Cloudflare (DNS and CDN), and email providers. Each provider is bound by data-processing agreements.
  • Legal compliance. Where required by subpoena, court order, or other legal process. We will notify you when permitted.
  • Successor entity. In a merger, acquisition, or sale, your information may transfer to the successor under the same protections.

We will never sell your personal information.

6. Data security

We use industry-standard security including encryption in transit (TLS) and at rest, row-level security in our database, short-lived signed URLs for document downloads, and regular access audits. No system is perfect; you are responsible for protecting your own credentials.

7. Data retention

We retain account and Association data for as long as the Association uses the Service plus a reasonable period for legal and operational purposes. Florida law requires HOAs to retain certain records (financials for at least 7 years, meeting minutes permanently). We retain those for the periods required by law.

8. Your rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion (subject to legal-retention obligations)
  • Export your data in a portable format
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent

9. Cookies and analytics

We use essential cookies for authentication and session management. We use privacy-respecting analytics to understand aggregate usage; we do not track individuals across third-party sites. You can disable non-essential cookies in your browser without breaking core functionality.

10. Children

The Service is not directed to children under 13. We do not knowingly collect information from children. If you believe we have, contact us and we will delete it.

11. International users

The Service is operated from the United States. If you access the Service from outside the U.S., you consent to the transfer and processing of your information in the U.S., which may have different data-protection laws than your jurisdiction.

12. Closing your account

You may close your account at any time by emailing privacy@libertyonemgmt.com. We will return or destroy your personal information within thirty (30) days, subject to legally required retention. Association data belongs to the Association and will be returned to a designated board officer.

13. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notification at least thirty (30) days before they take effect.
